How to upload documents
Upload documents directly to SENVault to store them securely and access them whenever you need them.
Uploading a document to SENVault takes a few seconds. Once uploaded, it is stored securely and accessible from any device.
Supported file types
SENVault accepts common document formats including PDF, Word documents, and images. If you are unsure whether a specific file type is supported, try uploading it, you will see an error message if the format is not accepted.
Note
If a file is very large, you may need to compress it before uploading. Most standard documents, letters, and reports will upload without issue.
How to upload a document
- Go to the Documents section in SENVault
- Select the option to upload a new document
- Choose a file from your device
- Give the document a clear, descriptive name
That is it. The document will be stored in your account and available immediately.
Naming documents clearly
Good names make documents much easier to find later. A few habits that help:
- Include the date:
EHCP Draft – Sept 2024 - Include the source:
Letter from Local Authority – Jan 2025 - Include the type:
Assessment Report,Annual Review Notes,Refusal Letter
Avoid names like Scan001.pdf or Document (3), these are difficult to identify later when you need something quickly.
What documents are worth uploading
Almost anything related to your child's SEND journey is worth keeping. In particular:
- EHCP drafts and final versions
- Letters from the local authority
- Professional assessments (OT, SALT, EP, CAMHS)
- School reports and annual review notes
- DLA decision letters and supporting correspondence
- GP and medical letters
Tip
Even documents that feel minor at the time can be useful later. A letter saying support was not needed, or a brief email from a teacher, may become relevant if your situation develops.
What to do next

Upload your most important document first
An EHCP, recent assessment, or key letter from the local authority is a good place to start.

Name it clearly
Include the date, source, and type in the document name.

Add more documents over time
You do not need to upload everything at once. Build up your document store gradually.
