Section 07 · Evidence Bundles
What is an Evidence Bundle?
Evidence bundles are curated collections of documents from your Vault, assembled for a specific recipient or purpose. This article explains what they are and when to use them.
After reading this article you can
- Understand what an evidence bundle is and what it is for
- Know the difference between a bundle and sharing your full Vault
- Understand the five bundle templates available
An evidence bundle is a curated collection of documents from your Vault, assembled for a specific recipient and purpose. Instead of sending a school or solicitor your entire case history, you build a bundle that contains exactly the right documents for that audience.
When would you use a bundle?
Bundles are useful whenever you need to present evidence in a structured way:
- EHCP annual review: documents showing your child's current needs and what progress (or lack of it) has been made
- Tribunal preparation: a structured pack covering all the evidence relevant to your appeal. SENVault has a dedicated Tribunal Bundle feature that compiles your evidence into a paginated PDF with a cover page, table of contents, and numbered exhibits
- DLA application: supporting evidence showing care needs and supervision requirements
- School concern meeting: records of the issues you have raised and the school's responses
- Housing or OT assessment: evidence for adaptations or specialist environment needs
- Diagnosis journey: a timeline of referrals, assessments, and professional reports for a new professional
Bundles vs sharing your Vault
A bundle is intentionally limited. When you share a bundle via a secure link, the recipient can only see the documents you have included in that bundle, not your full Vault. This gives you control over what different people can access.
| | Bundle share link | Full Vault access | |---|---|---| | Who can use it | Anyone with the link | Only advocates you explicitly grant access to | | What they see | Documents in that bundle only | All your evidence | | Access duration | Set by you (expiry date) | Until you revoke it | | Requires an account | No | Yes |
Bundle templates
SEN Evidence Vault offers five bundle templates to help you get started:
EHCP Review: Professional reports, school observations, therapy input, and evidence of unmet need. Designed for annual reviews and EHCP challenges.
Diagnosis Journey: Referrals, diagnostic assessments, paediatric letters, and therapy observations. Designed for gathering a complete diagnostic picture for a new professional.
Housing / OT Evidence: Adaptations evidence, sensory environment reports, mobility support, safety concerns. For OT assessments and DFG applications.
DLA / Benefits: Supervision needs, personal care, communication, and mobility evidence. For DLA applications and mandatory reconsiderations.
School Concerns: Behaviour logs, attendance records, emails to the school, safeguarding records, and evidence of unmet SEN Support. For escalating concerns or before requesting an EHCP assessment.
You do not have to use a template, you can also build a bundle from scratch by selecting individual documents.
