Organising your evidence

How to filter, sort, and search your Vault to find documents quickly, and how good organisation now makes bundle-building faster later.

As your Vault grows, being able to find the right document quickly becomes increasingly important. SEN Evidence Vault provides filtering, sorting, and search tools to help you navigate your evidence.

Filtering by category

The Evidence view has a category filter bar at the top. Select any category to see only documents in that category. You can select multiple categories to see evidence across a range.

This is particularly useful when preparing for a specific meeting: before an annual review, filter by EHCP, Education, and Therapy to see all the relevant reports in one view.

Filtering by date

Use the date range filter to see evidence from a specific period. For example:

  • "Show me everything from the last 12 months" before an annual review
  • "Show me everything from before 2023" when reviewing how needs were described historically

Searching within your Vault

The search bar searches across document titles and notes. It does not search the content of uploaded files (file content search is a future feature). Use descriptive titles when uploading to make search more effective.

Good title format: [Type], [Professional/Source], [Date]

Examples:

  • "OT assessment, Sarah Briggs, March 2024"
  • "Email to SENCo, Nov 2024, re: support plan review"
  • "EHCP draft, Westshire LA, Jan 2025"

Sorting

You can sort evidence by:

  • Date added: most recent first or oldest first
  • Document date: the date of the document, not when you uploaded it
  • Category: alphabetical by category

Child filter

If you have multiple child profiles, the Evidence view shows all children by default. Use the child filter (top of the page) to see only one child's evidence.

Why good organisation matters for bundles

When you build a bundle, you draw from your Vault. If your categories are accurate and your titles are descriptive, bundle creation is fast, you can filter to exactly the right set of documents and add them in one action. Poorly named or miscategorised items slow you down at the moment you least want to be searching.

    Open your Evidence view and check that each item has a clear, dateable title. Rename any that are generic ('scan001.pdf') to something meaningful.
