Your first child profile
How to add a child to SEN Evidence Vault and what information to include when setting up their profile.
After reading this article you can
- Add a child profile to SEN Evidence Vault
- Understand which fields are required and which are optional
- Know how to update or add additional children later
Every piece of evidence in SEN Evidence Vault is linked to a child profile. Creating the profile is the first thing you do after signing up.
Adding a child
From the dashboard, select Add child or follow the onboarding prompt. You will be asked for:
| Field | Required | Notes | |---|---|---| | Full name | Yes | Used throughout the app | | Preferred name | No | If your child goes by a nickname | | Date of birth | Yes | Used to calculate age for EHCP and DLA purposes | | Diagnosis status | Yes | See below | | Conditions | No | Free text, add any relevant diagnoses or suspected conditions | | Education setting | Yes | Mainstream school, specialist school, EOTAS, home education, etc. |
Diagnosis status
The diagnosis status field helps the app surface the most relevant features and guidance:
- No diagnosis yet: you are at the start of the journey, seeking assessment
- Assessment in progress: a formal referral or assessment is underway
- Diagnosed: your child has one or more formal diagnoses
- Awaiting diagnosis confirmation: assessment complete but awaiting formal letter
You can update this at any time as your situation changes.
What you don't need to have ready
You do not need to have all information to hand before creating a profile. A name, date of birth, and diagnosis status is enough to get started. You can add conditions, preferred name, and education setting at any time from the child's profile page.
Adding more children
If you have more than one child with SEND needs, you can add each as a separate profile. On the free plan, you can have one child profile. On Premium, there is no limit.
Managing more than one child requires a Premium subscription. You can still create a second profile on the free plan, but you will be prompted to upgrade to access it.
What to do next
- 1

Once the profile is created, you can start adding documents. Go to Evidence and select Upload.
